Managing Permissions

 

As a library administrator, DynaSend provides you with a significant level of control over who can and can’t use your email templates.

 

This control is provided to you through what we call “access permissions.”

 

Part 1 - Setting Permissions for New Library Pages:  Whenever you create a new library page (Chapter 3), you will be able to choose between two levels of access permission, as illustrated in the following graphic:

 

 

The difference between these is as follows:

 

Less Stringent - Access permission required, but granted automatically:  Under this permission level, anyone who has access to the page link (See Chapter 4, Step 1) will be able to immediately install and use this particular page in your library.  As the library administrator, you will be able to disable their access at any time you feel it is necessary to do so.  This process will be explained later in this chapter.

 

Pros:  The less stringent permission level minimizes the demands placed on the end-user and on the library administrator.  It also ensures that end-users have immediate access to the library page. 

 

Cons:  Anyone gaining access to the page link will be able to use the templates until such time as the library administrator decides to terminate their access.

 

More Stringent - Access Permission required, I will grant it manually on an individual basis:  This permission level differs in that even with the correct page link, each individual end-user will be required to fill out a brief “page access request” which will be transmitted to the library administrator.  The end-user will not have access to the templates on this page until the library administrator manually reviews the request and grants it.

 

Pros:  No one will be able to use the templates on a page until specifically authorized to do so by the library administrator (even if they have the correct link to the library page)

 

Cons:  More effort placed on end-users and on library administrators, and the delay in being able to access the templates that end-users will be subjected to before the library administrator acts on their access request.

 

Part 2 – Managing Permissions:  Permissions will be one of the “actions” available to library administrators for each page that they have created:

 

 

Clicking “permissions” brings up a list the end-users who have installed the particular library page.  Clicking “Deny” will disable their page access, effective the next time they log-in to DynaSend:

Part 3 – Proactively Providing Permissions:  The library administrator may also provide library access to an end user who has not even requested it.  This begins by clicking the “Add User” button:

 

 

At this point the library administrator can add the new user by completing the form that appears.  The email address is the critical element in this process, as it MUST MATCH the email address that the end-user has used when registering with DynaSend:

 

 

In the case illustrated above, assuming that Julie Eisenstein is a registered user of DynaSend and that she has registered using the email address shown, the next time she logs-in she will find that the “Elliot Pishko Morgan Email Library” has been pre-loaded into her DynaSend end-user control panel.

 

Note:  It is not necessary that the user added by the library administrator already be a registered user of DynaSend.  For example, in this case the library administrator could have added Julie Eisenstein even if she has never heard of DynaSend.  Once added, whenever Julie gets around to registering with DynaSend, and provided she uses a matching email address to register, she will find her “Elliot Pishko Morgan Email Library” ready and waiting.
